This policy explains what information we collect when you use rayisweddings.com, why we collect it, and the choices you have. Written in plain language, no boilerplate. If anything is unclear, please email us — we read every message.
Who we are
Rayis Weddings is a wedding photography & video team based in Toronto, Ontario, Canada. For the purposes of Canadian privacy law (PIPEDA), we are the data controller responsible for the personal information you share with us through this website.
Our contact email for privacy matters is hello@rayisweddings.com.
What we collect
We collect personal information in two ways: when you submit our inquiry form, and through limited analytics about how the site is used.
From the inquiry form:
- Your name and your partner's name (if provided)
- Your email address
- Your wedding date, venue, and location (if provided)
- Your Instagram handle (if provided)
- Anything you write in the message field
- How you heard about us (if selected)
Automatically through analytics:
- Anonymous usage data — pages visited, approximate location (city-level), browser, and device type, collected via Microsoft Clarity
- Referral source — where you came from before arriving on our site
- Anonymized session interactions via Microsoft Clarity (mouse movements, clicks, scrolls). No audio is captured, and form field contents are masked by default.
- Advertising measurement via the Meta (Facebook & Instagram) pixel — when you visit our site or submit an inquiry, the pixel tells Meta that a page view or lead happened so we can measure whether our ads are working and reach people with similar interests. This uses a cookie Meta can associate with your Facebook/Instagram account. The pixel does not receive the details you type into the inquiry form (name, email, message).
We do not collect: your IP address in raw form, payment information (we use a separate service for invoicing), or sensitive personal data like health, religion, or political views.
Why we collect it
The inquiry form information is used to respond to you, schedule a discovery call, and prepare a custom proposal. If you book us, this information becomes the basis of your client file with us throughout the planning and delivery process.
Analytics data helps us understand which parts of the site are useful and which aren't, so we can improve. We also run ads on Meta (Facebook & Instagram); the Meta pixel lets us measure which ads lead to inquiries and show our ads to people with similar interests. We do not sell your personal information, and we never share the details you type into the inquiry form for advertising.
Where it lives
Inquiries you submit are stored in our private CRM (Airtable) and our email inbox (Google Workspace). Both services are protected by industry-standard encryption and access controls.
Auto-reply emails are sent through Resend, a transactional email service that authenticates messages on our behalf.
Analytics data is processed by Microsoft Clarity, and advertising-measurement data by Meta Platforms, each according to their own privacy policies.
How long we keep it
If you inquire and we don't ultimately work together, we keep your inquiry data for 24 months in case you reach back out, then delete it.
If you book with us, we keep your file (including delivered photos and contracts) for the lifetime of our team — we want to be able to send you anniversary prints, and we never want a couple to email asking for a photo and have us say "we deleted that." If you want your file deleted earlier, just ask.
Your rights
Under Canadian privacy law (PIPEDA) and similar laws elsewhere, you have the right to:
- Know what personal information we hold about you
- Receive a copy of that information
- Correct anything that's inaccurate
- Withdraw your consent and request deletion at any time
- File a complaint with the Office of the Privacy Commissioner of Canada
To exercise any of these rights, simply email hello@rayisweddings.com. We will respond within 30 days, usually much sooner.
Cookies & tracking
We use a small number of cookies for analytics, plus the Meta pixel cookie, which is used for advertising — it lets us measure our ad results and show ads to people like you across Facebook and Instagram. You can turn off personalized ads in your Meta ad preferences, and you can disable cookies in your browser settings without affecting your ability to use the site.
Photos of you
If you book us as your wedding photographer, we may — with your consent — feature select images from your wedding on our portfolio, social media, blog, and submissions to wedding publications. This is covered in detail in our service agreement, which you'll review before signing. If you'd prefer your wedding stay private, we honour that without question.
Changes to this policy
If we update this policy, we'll change the date at the top of the page. For meaningful changes (anything affecting how we use your data), we'll email past clients and form submitters before the change takes effect.
